The Virtual Travel Assistant plays a crucial role in supporting the company's travel needs and maintaining the highest standards of service. Key Responsibilities: β’ Travel Coordination: β’ Plan, organize, and coordinate domestic and international business trips. β’ Arrange flights, accommodations, ground transportation, and any other travel-related logistics. β’ Ensure compliance with company travel policies and budget constraints. β’ Itinerary Management: β’ Create detailed travel itineraries that include flight schedules, hotel reservations, meeting agendas, and other relevant information. β’ Communicate itineraries to travelers, keeping them informed of any changes or updates. β’ Expense Management: β’ Monitor and track travel expenses, ensuring they align with the allocated budget. β’ Prepare and submit expense reports for reimbursement in a timely manner. β’ Travel Research: β’ Stay up-to-date with travel industry trends, visa requirements, and health and safety guidelines. β’ Recommend cost-effective travel options and suggest travel perks to enhance the travel experience. β’ Communication and Support: β’ Serve as the primary point of contact for travelers, addressing their travel-related inquiries and concerns. β’ Provide support in the event of travel disruptions, such as flight cancellations or delays. β’ Travel Policy Compliance: β’ Enforce the organization's travel policies and guidelines to ensure that all travel arrangements align with company standards and regulations. β’ Vendor Relationships: β’ Build and maintain strong relationships with travel agencies, hotels, airlines, and other service providers to secure the best deals and services. Qualifications: β’ Proven experience in travel coordination, either as a travel agent or business travel coordinator is a plus but not required. β’ Excellent organizational and communication skills. β’ Strong attention to detail and ability to multitask. β’ Knowledge of visa requirements, travel safety protocols, and various travel booking platforms is a plus but not required.
