The role of Intellectual Property Administrative Assistant involves supporting intellectual property attorneys and performing various patent and administrative functions in a fast-paced environment. Responsibilities β’ Prepare patent prosecution documents for review by attorneys; forwarding documents to client β’ Prepare documents for filing with USPTO, including organizing for attorney review and uploading to USPTO as directed β’ Prepare reporting letters as needed for Office Actions and other filings β’ Create, edit, format and proofread letters, memos, and other documents using Microsoft Word, Excel, iManage, and Adobe Acrobat as necessary β’ Compose routine correspondence and emails to attorneys and clients, as needed β’ Assisting in preparation and forwarding of invoices to clients β’ Upload/download patent-related documents, correspondence, and data to and from client systems β’ Download documents from USPTO website as needed in conjunction with reporting Office Actions, or as needed for other projects as requested β’ Acknowledge correspondence, emails, faxes, and other incoming client correspondence as requested β’ Perform quality control to ensure work products are free from errors or inconsistencies β’ Coordinate internally with departments and externally with clients, external counsel, and other vendors to obtain and exchange information and documentation related to legal matters β’ Provide backup secretarial assistance to partners, associates and other legal and administrative staff as assigned β’ Other administrative tasks and project assistance as assigned Skills β’ Proficient with Adobe and Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint β’ Strong professional communication and interpersonal skills in dealing with all levels of the firm (attorneys, secretaries, administration, and other members of staff) β’ Strong organizational skills with attention to detail β’ Ability to prioritize and meet deadlines β’ The ability to understand and follow oral and written directions β’ Ability to work independently or as part of a team β’ Associate Degree from an accredited college or university β’ Experience with Microsoft Office Suite and Adobe β’ 2+ years of working in a legal office environment β’ Patent Experience Preferred but not required Company Overview β’ Briefly provides legal back-office services.
