Job Summary
The Weekend After Hours Customer Service and Dispatch Representative will be responsible for handling customer service requests, appointment booking, customer questions, complaints, and billing inquiries with the highest degree of courtesy and professionalism. The ideal candidate will have excellent communication and interpersonal skills, with the ability to work effectively in a fast-paced environment and provide one-call resolution to customer issues. This role will be based in Round Rock, TX, and will require working evening and weekend shifts.
Key Responsibilities
- Answers incoming phone calls from customers and assists with their queries or routes calls to the appropriate person
- Maintains good customer relations by providing prompt, professional, and courteous support
- Handles and resolves a variety of customer concerns, complaints, and questions by phone, email, chat, or other communication channels
- Resolves problems by clarifying issues, researching, exploring answers and alternative solutions, implementing solutions, and escalating unresolved issues as needed
- Maintains customer records by updating account information and ensuring data accuracy
- Accurately dispositions calls and maintains a high level of productivity
- Continually maintains working knowledge of all arenaflex products, services, and promotions to provide informed support to customers
- Works to improve accuracy in scheduling and speed of response to customer inquiries
- Demonstrates reliable attendance and on-time job performance, with a strong commitment to meeting service demands
- Performs similar or other duties as needed or assigned by management
Essential Qualifications
- High school diploma or equivalent with at least 1 year of experience working in customer service or another customer-facing environment
- Experience or training in the use of computers and related systems in an administrative office environment
- Excellent customer-service, communication, and interpersonal skills, with the ability to communicate effectively with customers, co-workers, and management
- Ability to multitask and work effectively in a fast-paced and constantly changing work environment, with no loss in efficiency and effectiveness
- Effective organizational and time-management skills, with the ability to prioritize work based on service demands
- Ability to make decisions based on established guidelines and procedures, with a strong commitment to customer satisfaction and empowerment
Preferred Qualifications
- An understanding and knowledge of the HVAC/Refrigeration Industry or a related field
- Previous experience working in a dispatch or scheduling role, with a strong understanding of logistics and routing
- Ability to work independently and as part of a team, with a strong commitment to collaboration and teamwork
- Strong problem-solving and analytical skills, with the ability to resolve complex customer issues and complaints
