Job Summary
We are seeking an experienced Operations & Portfolio Manager with a background in equipment finance, commercial lending, loan processing, or portfolio management to oversee deal execution, funding coordination, insurance compliance, lien filings, and documentation management.
This is a fully remote role requiring consistent availability from 8:00 AM – 5:00 PM CST by phone, email, and virtual meetings.
The Operations & Portfolio Manager is responsible for post-approval deal processing, UCC filings, insurance verification, title management, GPS compliance, funder coordination, and portfolio oversight. This role ensures accuracy, compliance, and timely funding of commercial finance transactions.
- ResponsibilitiesEquipment Finance & Deal Processing
- Oversee deal entry and loan documentation review
- Ensure accurate data entry into CRM systems (Zoho preferred)
- Coordinate with sales, underwriting, and funding partners
- Manage funding checklists and ensure timely deal funding
- Generate operational and portfolio performance reports
- Insurance Verification & Compliance
- Review Certificates of Insurance (COIs)
- Verify lienholder and loss payee requirements
- Track insurance expirations and renewals
- Coordinate with insurance providers and brokers
- Support insurance claims on financed equipment
- UCC Filings & Lien Management
- File and manage UCC-1 filings
- Maintain lien records and releases
- Coordinate titling and lienholder documentation nationwide
- Ensure compliance with state-specific lien regulations
- Loan Documentation & Closing
- Prepare and review equipment finance agreements
- Manage e-signature workflows
- Verify funding documentation accuracy
- Maintain organized electronic document storage
- GPS Asset Monitoring
- Coordinate ordering and activation of GPS units
- Monitor equipment tracking alerts
- Reconcile GPS billing and vendor invoices
- Support compliance tracking for leased or financed equipment
- Funder & Portfolio Coordination
- Maintain funder criteria and approval guidelines
- Communicate with banks and private lenders
- Monitor portfolio performance and funding timelines
- Support collections documentation and compliance tracking
- General Operations
- Maintain CRM accuracy
- Identify process improvement opportunities
- Ensure regulatory and internal compliance standards
- Experience 3+ years experience in equipment finance, commercial lending, loan processing, or financial operations
- Experience with UCC filings, lien management, and title coordination
- Knowledge of commercial insurance verification for financed equipment
- Strong understanding of funding processes and documentation compliance
- Experience with CRM systems (Zoho, Salesforce, or similar)
- High attention to detail and deadline management
- Strong written and verbal communication skills
- Ability to work independently in a remote environment
