Job Description
I’m looking for an experienced automation developer to build an AI-powered workflow that can monitor hiring triggers (CRM activity, external data sources, email responses, time delays, etc.) and automatically generate and send follow-up emails using AI.
The goal is to create a lightweight “AI agent” that manages outreach follow-ups so that prospects and clients are consistently followed up with based on predefined rules.
Scope of Work
The system should:
- Monitor triggers such as new funding announcements, leadership changes, no email reply after X days, or status changes in a CRM/ATS
- Generate context-aware follow-up emails using AI (OpenAI/ChatGPT API or similar)
- Send emails automatically through Outlook
- Support multi-step follow-up sequences (e.g., Day 3, Day 7, Day 14) leveraging a CRM (Sourcewhale)
- Allow simple editing of prompts/templates for messaging tone and content
- Include safeguards such as optional approval before sending messages
Preferred Tools/Stack
Open to recommendations, but potential tools may include:
- OpenAI API/AI agents
- Zapier, Sourcewhale, or custom workflow automation
- Outlook API integration
- CRM integrations (Thrive TRM and Sourcewhale)
Deliverables
- Fully functioning automation workflow
- Documentation on how to manage or adjust prompts and triggers
- Ability to expand the workflow later (additional triggers, messaging sequences, etc.)
Ideal Candidate
- Experience building AI-powered automation workflows
- Strong API and integration experience
- Familiar with OpenAI or similar LLM APIs
- Comfortable designing trigger-based systems and email automation
