Events Office Administrator (Remote) Philadelphia, PA (Fully Remote)

Department: Gifts & Planned Giving – Philadelphia Campus

Duration: March 1, 2026 – June 1, 2026

Schedule: Up to 20 hours/week | 4 days/week | 9:00 AM – 5:00 PM EST

Pay Rate: $15 to $22/hr on W2

Position Summary

We are seeking a detail-oriented and highly organized Events Office Administrator to provide advanced administrative and data management support for the Gifts & Planned Giving team. This fully remote role supports executive-level event preparation, donor communications, scheduling coordination, and database management.

The ideal candidate thrives in a fast-paced environment, demonstrates exceptional discretion with confidential donor information, and has strong data entry and organizational skills.

    Key Responsibilities Administrative Support
  • Triage and route internal/external calls; provide prompt and courteous assistance.
  • Schedule and coordinate meetings, interviews, conferences, and committee activities.
  • Prepare presentations, reports, letters, memoranda, and related documentation.
  • Manage calendars, appointments, and travel arrangements.
  • Process travel forms, invoices, check requests, and expense reports.
  • Support reception desk coverage and front desk communications (as needed).
  • Assist with new hire onboarding and timekeeping processes.
    Event & Donor Support
  • Support large-scale event preparation through timely and accurate data entry.
  • Communicate with donors via phone as required.
  • Assist with registration tables, name tag creation, and on-site event logistics (if needed).
  • Maintain donor confidentiality at all times.
    Data & Systems Management
  • Utilize Raiser’s Edge (RE) and/or Salesforce to:
  • Code gifts and update donor biographical information.
  • Enter notes and maintain records.
  • Run reports and create exports for spreadsheets.
  • Execute mail merges, labels, and envelopes.
  • Maintain charts, files, correspondence, and reporting systems.
  • Assist staff with basic technical troubleshooting (Word, Excel, Outlook).
  • Participate in cross-training initiatives for collaborative team support.
    Office Operations
  • Oversee and order office supplies.
  • File, fax, shred, and manage physical/digital records.
  • Support internal systems and reporting improvements.
    Required Qualifications
  • High School Diploma or GED required (associate’s degree preferred).
  • Strong data entry accuracy and timeliness.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • High level of discretion with confidential donor information.
  • Strong organizational and interpersonal skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Customer-focused mindset with strong collaboration skills.
