Our team of dedicated caregivers, health professionals, and support staff work together to create personalized care plans that honor the dignity, preferences, and lifestyles of every client.

Located in the vibrant community of Pompano Beach, FL, arenaflex serves the Greater Broward County area with a reputation for reliability, empathy, and excellence. As we continue to expand our digital engagement channels, we are seeking a meticulous, internally‑focused professional to manage the flow of chat‑based caregiver leads generated through the arenaflex platform. This role is pivotal in ensuring that qualified caregivers are matched quickly and accurately with client needs, while keeping the position strictly internal and off public job boards.

Position Overview – Internal Chat Caregiver Lead Coordinator

The Internal Chat Caregiver Lead Coordinator will serve as the primary conduit between arenaflex’s digital lead generation system and our recruitment team. You will receive, evaluate, and forward chat‑received caregiver leads, maintain internal visibility settings, and support the continuous improvement of our lead‑handling processes. This is a corporate‑paid, full‑time position based in our Pompano Beach office, offering a dynamic environment where technology meets compassionate care.

Key Responsibilities

  • Lead Management: Receive caregiver leads submitted through the arenaflex chat interface, verify completeness of information, and log each lead into the internal applicant tracking system.

  • Internal Visibility Control: Ensure that each lead posting remains set to “Internal” at all times, preventing accidental exposure on public job boards or external recruiting sites.

  • Data Validation & Enrichment: Cross‑check lead details (certifications, availability, location, and experience) against arenaflex’s caregiver qualification standards, and enrich records with any missing data by contacting the lead directly via chat, email, or phone.

  • Collaboration with Recruitment Team: Forward validated leads to the recruitment specialists, provide context notes, and track the status of each lead through the hiring pipeline.

  • Process Documentation: Maintain up‑to‑date SOPs (Standard Operating Procedures) for lead intake, validation, and hand‑off, ensuring consistency and compliance with internal policies.

  • Quality Assurance: Conduct periodic audits of lead files and visibility settings to guarantee data integrity and confidentiality.

  • Reporting & Analytics: Generate weekly and monthly reports on lead volume, conversion rates, and any bottlenecks, presenting insights to senior management for continuous improvement.

  • Technology Integration: Work closely with arenaflex’s IT and system integration teams to troubleshoot chat platform issues, suggest enhancements, and test new functionalities.

  • Customer‑Centric Communication: Serve as the first point of contact for prospective caregivers using the chat system, delivering a warm, professional, and supportive experience that reflects arenaflex’s brand values.

Essential Qualifications

  • Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Healthcare Management, Human Resources, or a related field preferred.

  • Experience: Minimum of 2 years of experience in a recruitment coordination, HR support, or lead‑management role, preferably within the home‑care, medical, or senior‑services industry.

  • Technical Proficiency: Demonstrated ability to navigate applicant tracking systems (ATS), CRM platforms, and chat‑based communication tools. Familiarity with Microsoft Office Suite, Google Workspace, and basic data‑analysis tools (e.g., Excel, Power BI) is essential.

  • Attention to Detail: Proven track record of maintaining accurate records, managing confidentiality, and ensuring that internal visibility settings are correctly applied.

  • Communication Skills: Excellent written and verbal communication abilities; comfortable engaging with prospective caregivers via chat, email, and phone in a courteous, empathetic manner.

  • Organizational Skills: Ability to prioritize multiple tasks, meet tight deadlines, and manage a high volume of leads without compromising quality.

  • Team Orientation: Strong collaborative mindset with a willingness to support cross‑functional teams and contribute to process improvements.

Preferred Qualifications & Additional Skills

  • Experience in the senior‑care or home‑health industry, with knowledge of caregiver certification requirements (e.g., CNA, HHA, CPR).

  • Exposure to workflow automation tools such as Zapier, Integromat, or similar platforms.

  • Familiarity with GDPR, HIPAA, or other data‑privacy regulations as they apply to employee data.

  • Basic understanding of recruitment marketing principles and the ability to suggest improvements to lead‑generation messaging.

  • Certification in HR (e.g., SHRM‑CP, PHR) or project management (e.g., PMP) is a plus.

Core Skills & Competencies for Success

  • Analytical Thinking: Ability to interpret lead data, identify trends, and propose actionable solutions.

  • Problem Solving: Proactive in diagnosing issues with chat lead flow and collaborating on technical fixes.

  • Empathy & Service Orientation: Recognize the importance of each caregiver’s journey and convey arenaflex’s commitment to supportive communication.

  • Adaptability: Thrive in a fast‑changing environment where technology upgrades and policy updates are frequent.

  • Confidentiality: Uphold stringent standards for protecting personal information of both caregivers and clients.
