As we broaden our service portfolio and deepen our market presence, we need talented, detail‑oriented professionals to support the backbone of our organization: the Human Resources and Operations teams.

Position Overview – Human Resources & Data Entry Coordinator

The Human Resources & Data Entry Coordinator at arenaflex is a pivotal role that merges traditional HR support with meticulous data management. Reporting to the HR Manager, you will act as the first point of contact for employee inquiries, assist with full‑cycle recruiting, streamline onboarding and off‑boarding processes, maintain confidential personnel records, and help drive employee engagement initiatives. While payroll and background checks are outsourced, your focus will be on enhancing internal HR workflows, ensuring compliance, and fostering a positive employee experience.

This is an entry‑level, full‑time position based on‑site in Tulsa, OK (ZIP 74116) with immediate start. It offers a clear pathway for growth as arenaflex continues to scale its operations.

Key Responsibilities

  • Employee Liaison: Serve as the primary contact for staff questions about HR policies, benefits, and procedural guidance, delivering timely and accurate information.

  • Recruiting Support: Manage the full‑cycle recruiting workflow including drafting and posting job advertisements, screening resumes, scheduling interviews, coordinating candidate communications, and assisting with offer preparation.

  • Onboarding & Off‑boarding: Facilitate new‑hire orientation, ensure completion of required documentation, set up system access, and conduct exit interviews alongside the HR Manager for departing employees.

  • Record Management: Maintain up‑to‑date employee files—both physical and electronic—ensuring confidentiality, compliance with data‑privacy regulations, and accurate archival of historical data.

  • Benefits Administration Assistance: Help employees navigate enrollment processes, process changes, and address benefits‑related inquiries in partnership with external benefits administrators.

  • Employee Engagement: Support recognition programs, pulse surveys, and coordinate company‑wide events that reinforce a strong, inclusive workplace culture.

  • Compliance & Documentation: Conduct regular audits of HR documentation, update policies, track mandatory training completions, and issue reminders for compliance deadlines.

  • Performance Review Coordination: Track performance‑review schedules, send reminders to managers and employees, and compile final reports for leadership review.

  • Policy & Handbook Development: Contribute to the continuous improvement of the employee handbook, standard operating procedures, and other HR guides.

  • Reporting & Analytics: Generate HR metrics such as turnover rates, headcount trends, absenteeism statistics, and other key performance indicators for senior management.

  • General Administrative Support: Provide ad‑hoc assistance to both HR and Operations teams, ensuring smooth daily operations and prompt resolution of issues.

Essential Qualifications

  • High school diploma or GED required; associate’s or bachelor’s degree in Human Resources, Business Administration, or related field preferred.

  • Prior exposure to HR, recruiting, or administrative support (internships, part‑time roles, or volunteer experience) is advantageous but not mandatory.

  • Exceptional organizational skills with a proven ability to manage multiple priorities in a fast‑paced environment.

  • Strong attention to detail, especially when handling confidential employee data and documentation.

  • Excellent written and verbal communication abilities, enabling clear interaction with employees at all levels.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS or ATS platforms is a plus.

  • Positive, solution‑oriented attitude with a willingness to learn, adapt, and grow within the organization.

Preferred Qualifications & Additional Skills

  • Familiarity with employment‑law basics (e.g., FMLA, OSHA, EEOC) and HR best practices.

  • Experience using applicant‑tracking systems (e.g., Greenhouse, Lever) or HR information systems (e.g., BambooHR, ADP Workforce).

  • Basic data‑analysis skills—ability to create and interpret simple Excel dashboards and charts.

  • Customer‑service mindset with a focus on delivering an outstanding employee experience.

  • Capability to handle sensitive information with discretion and maintain strict confidentiality.

Core Competencies for Success

  • Time Management: Prioritize tasks effectively to meet deadlines without compromising quality.

  • Problem Solving: Identify issues quickly, propose practical solutions, and follow through to resolution.

  • Interpersonal Skills: Build trusting relationships with staff, management, and external partners.

  • Technology Adaptability: Comfort with learning new software tools, HR platforms, and digital communication channels.

  • Continuous Improvement: Seek feedback, stay informed about HR trends, and proactively suggest process enhancements.
