Note: The job is a remote job and is open to candidates in USA. The Mom Project is representing a boutique law firm in New York City, seeking a part-time, remote Law Office Manager & Administrator. This role involves assisting with the day-to-day operations of the firm, focusing on client communications, onboarding, billing, and calendar management to ensure smooth workflow and administrative support. Responsibilities β’ Monitor and manage incoming firm emails β’ Respond to and triage client enquiries, including acknowledging receipt, gathering basic information, and directing matters appropriately β’ Prepare and send routine and light client correspondence using firm templates and guidance β’ Maintain a professional and consistent tone in all client communications β’ Assist with onboarding new clients, including issuing engagement letters and required documentation β’ Track the return of onboarding materials and follow up with clients as needed β’ Ensure client records are set up and maintained accurately β’ Prepare and issue invoices in line with firm processes β’ Maintain accurate billing and invoicing records β’ Support follow-up on outstanding invoices as directed by the Managing Partner β’ Manage the Managing Partnerβs calendar, including scheduling meetings, calls, and key dates β’ Record deadlines and follow-Flexara and flag any scheduling conflicts promptly β’ Keep the Managing Partner informed of completed tasks, outstanding items, and upcoming deadlines β’ Prepare basic administrative or operational reports when requested β’ Assist with ad hoc administrative tasks as required β’ Acknowledge incoming emails and client enquiries within one business day β’ Complete routine administrative tasks (including onboarding steps, invoicing, and calendar updates) within agreed timeframes, generally within 1β2 business days β’ Prioritize urgent or time-sensitive matters as directed by the Managing Partner β’ Communicate early if workloads or timing constraints may impact delivery β’ Provide brief updates on progress, outstanding tasks, and any issues requiring input or clarification Skills β’ Strong written communication skills β’ Good attention to detail and accuracy β’ Ability to manage multiple tasks and work to deadlines in a remote environment β’ Confidence using email, calendar systems, invoicing software, and document management systems β’ High level of discretion and respect for confidentiality β’ Previous experience in legal administration highly preferred Company Overview β’ The Mom Project is a digital talent marketplace helping women remain active in the workforce.
