Lowenstein Sandler LLP is a sophisticated law firm in the United States, known for its collaborative and entrepreneurial culture. They are seeking an Administrative Assistant to provide organizational support to the Emerging Companies and Venture Capital & Intellectual Property practices, which includes managing CRM databases, drafting communications, and performing clerical duties.
Responsibilities
- Provide administrative and organizational support to the Emerging Companies and Venture Capital (ECVC) & Intellectual Property (IP) practices
- Duties include CRM database management (Interaction), drafting and proofreading internal communications, general clerical and project-based work
- Position must project a professional and customer service image through in-person, email, virtual meetings, and phone interaction
- This position may have access to private and confidential information and must perform the duties in a confidential manner
- Track event responses during high volume periods
- Oversee the clearing of tickets in InterAction
- Updating & maintaining contacts in InterAction
- Review of marketing invites
- Work with team on list and data management
- Perform general clerical duties including but not limited to: data entry, photocopying, faxing, mailing, filing and running off-site errands
- Make copies of informational material to distribute for meetings
- Have working knowledge of firm operations, organizational procedures, and personnel duties
- Perform additional duties as required
- Assist with coordinating and scheduling department lunches, meetings and events
- Monitor and file emails across multiple inboxes, taking action as appropriate to ensure timely responses and followβup
- Maintain and update practice groupβs intranet hub page to ensure content is current and accurate
- Assist Departmental Directors, Managers and Staff as requested
Skills
- Two year college degree or equivalent professional experience
- Excellent attention to detail
- Excellent time management and organizational skills
- Strong interpersonal, written and verbal skills
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, etc.)
- Proficient with Zoom platform
- Ability to treat sensitive/confidential information with appropriate discretion
