Job Description
Lead Advisor, LLC is a company focused on providing insurance services. They are seeking an Insurance Operations Associate to support insurance servicing, client support, and office organization while ensuring effective communication between various stakeholders.
Responsibilities
- Maintain client case files, process correspondence, and handle case notes
- Answer and direct telephone calls appropriately
- Monitor and respond to emails from clients, underwriters, medical exam companies, and team members
- Input data and gather necessary information for client/prospect meetings and insurance applications
- Schedule medical exams and onboarding calls for clients
- Contact clients to provide application updates, request information, and confirm receipt of forms
- Track underwriting updates via the Daily Status Report (DSR) and expedite requirements
- Communicate with the home office and underwriting as needed
- Prepare and print letters of instruction for client signatures
- Prepare policies for delivery
- Generate IFLs and other illustrations for client meetings
- Participate in weekly and monthly team meetings
- Review insurance applications, conversions, and policy changes for accuracy
- Send Medical History Questionnaires to clients
- Arrange medical, paramedical, and other necessary exams for underwriting
- Provide clients with account values and updates for non-securities-related accounts
- Advise clients on late payments and non-securities service-related issues
- Assist clients in understanding changes to their non-securities products
- Process service requests, including address changes, bank updates, loan requests, and ISA inquiries
- Coordinate with the investment team to share client documents and prepare premiums from investment accounts
- Review applications, conversions, and policy changes for completeness, returning incomplete forms to registered representatives (RRs)
- Arrange medical, paramedical, and other necessary exams
- Monitor Items for Attention (IFA) and bring action items to the RR’s attention
- Complete order tickets and new account forms based on RR instructions
- Identify the need for switch letters and discuss with the RR
- Work with the network office, NMIS, and fund families to resolve client account issues
- Provide account values and performance updates at the RR’s direction
Skills
- Must obtain a Health and Life Insurance license within six months of employment
- Associate Agent Contract required
- Proficiency in Microsoft applications and data entry software
- Strong organizational, time management, and multitasking skills
- High attention to detail with the ability to work accurately
- Proactive mindset with the ability to take initiative
- Interest in continuous learning and professional development
- Adaptability to a fast-paced environment
- Ability to work independently and collaboratively
- Strong communication skills (oral and written)
- Commitment to maintaining confidentiality
- Bachelor's degree preferred but not required
- Prior experience in financial services or the insurance industry preferred
- Experience in administrative support or customer service, particularly in financial services or insurance
