Job Description

Paul, Weiss, Rifkind, Wharton & Garrison LLP is a prestigious law firm seeking an Office Operations Services Assistant. This entry-level role involves supporting workplace operations through various projects related to space planning, move preparation, and operational coordination, providing valuable hands-on experience in a dynamic environment.


Responsibilities

  • Provide administrative and project support to the Office Operations team across a range of workplace initiatives and operational programs
  • Assist with planning and coordination related to the firm’s transition to its new headquarters at 1345 Avenue of the Americas
  • Assist in the preparation, organization, and tracking of operational projects and related materials
  • Support the preparation, formatting, and organization of materials for the firm’s transition guides and move-related communications
  • Assist with coordination and tracking of move preparation activities, including firm-wide purge campaigns
  • Assist with maintaining space planning records, office inventories, and related operational tracking systems
  • Maintain organized project documentation, trackers, and operational materials related to workplace initiatives
  • Assist with scheduling meetings, preparing materials, and documenting follow-up actions for operational project meetings
  • Work collaboratively with multiple internal teams supporting operational initiatives and workplace programs
  • Support overflow work and special projects within the Office Operations team as needed

Skills

  • A Bachelor's Degree is required
  • Proficiency in the Microsoft Office suite required
  • Strong verbal and written communication skills with a keen attention to detail
  • Must be a professional, proactive, and energetic team player
  • Exceptionally well-organized and detail oriented
  • Ability to manage multiple projects within a deadline-driven environment
  • Capable of acting with a sense of urgency when necessary and able to adapt to evolving project needs
  • Ability to cultivate and maintain professional working relationships with attorneys and business professionals
