Assistant Property Manager (Leasing & Resident focuesd)
The Assistant Property Manager is responsible for supporting all aspects of the leasing process, including lead management, application processing, lease drafting, renewals, and compliance. This role also assists with inspection coordination, lease violation tracking, and maintaining accurate information within company systems. The position requires a detail-oriented, proactive individual who is comfortable working in a fast-paced property management environment.
Position Responsibilities:
Lead and Showing Management
● Receive and respond to leasing inquiries and showing leads promptly and professionally.
● Coordinate property showings.
● Maintain and update lead records and activity tracking within AppFolio.
● Provide prospective residents with information regarding available properties, application criteria, and leasing procedures.
Application Processing
● Review and process rental applications in accordance with company screening policies.
● Communicate application outcomes to applicants in a timely and professional manner.

Lease Preparation
● Assist in drafting new lease agreements and related documentation.
● Ensure lease documentation is complete, accurate, and compliant with company standards.
● Make sure the new resident is well understood and educated about the lease and the property condition before the MOVE IN date
● Perform Pre-move in phone or video call and virtual walk through.
Renewals
● Assist in drafting new lease agreements and related documentation.
● Track and process lease renewals, including preparing and sending renewal offers.
● Ensure lease documentation is complete, accurate, and compliant with company standards.
● Maintain communication with residents throughout the renewal process.
Resident Relations and Leasing Support
● Serve as the primary point of contact for leasing related questions from current residents.
● Provide clarification on lease terms, renewal timelines, and policies as needed.
● Collaborate with internal departments to resolve resident concerns or discrepancies related to leasing matters.
Inspections and Lease Violations
● Schedule different types of inspections.
● Review inspection reports and identify potential lease violations or property issues.
● Coordinate lease violation enforcement in accordance with company policies and lease terms.
● Document all actions and communications related to inspections and violations.
● Assist in Resident Benefit Package such as filter delivery, insurance
Qualifications
● Excellent customer service and communication skills
● Be able to explain complex documents and clearly communicate
● Strong attention to detail and ability to follow instructions accurately.
● Capable of performing instruction calls, conducting virtual walkthroughs, and preparing announcements and letters.
● Previous experience in property management, leasing, or a related administrative role preferred.
● Proficient in G Suite or equivalent productivity software
● Proficiency with property management software ( AppFolio,, Z inspection or similar platforms) preferred.
● Ability to work independently, manage multiple priorities, and meet deadlines.
● Professional demeanor and customer service-oriented approach.
