A property management company overseeing approximately 150 residential units. The team is seeking a highly organized and proactive assistant to support day-to-day operations, with a strong focus on bookkeeping and administrative coordination.

Position Overview:

The Bilingual(Advanced English/Native or Advanced Spanish) Property Management Assistant will provide remote administrative and bookkeeping support for a 150-unit residential property portfolio. Starting part-time with potential to move to full-time after a two months reevaluation, the role involves handling tenant communications, managing lease renewals and documents, tracking invoices, and coordinating with vendors, maintenance, and city services. Intermediate/Advanced QuickBooks skills, attention to detail, and excellent communication in English and Spanish.

Responsibilities:

  • Provide back-end administrative support for the property management team
  • Handle tenant communications via text, email, and occasional phone calls
  • Follow up on tenant inquiries and work orders
  • Manage lease renewals and ensure all required documentation is up to date
  • Maintain accurate records of all invoices and payments
  • Perform bookkeeping duties using QuickBooks (primary need)
  • Support billing processes and payment follow-ups
  • Coordinate communication with internal team members, vendors, and service providers
  • Make professional calls to in-house maintenance, vendors, utility companies, insurance carriers, and city departments as needed
  • Occasionally assist with after-hours emergency coordination

Qualifications:

  • Bilingual: Fluent in English and Spanish, preferred
  • Proven experience in administrative support, property management, or related roles
  • Advanced English skills with excellent grammar, clear communication, and neutral accent
  • Intermediate/Advanced level bookkeeping experience with proficiency in QuickBooks
  • Experience with property management software such as Buildium(preferred), Rent Manager, or Yardi is a plus
  • Detail-oriented, reliable, and excellent at follow-through
  • Able to multitask and stay organized in a remote work environment

Schedule:

  • Part-time to start, with room to expand to full-time in the near future. This is based on performance and trust. Note: This is the first time the client is hiring remotely and in a different country.
  • Preferred hours between: 9am – 5pmEST. Monday to Friday, weekends off.
  • Flexibility for additional hours is welcomed, and will be compensated accordingly; as there can be requests for work orders, or follow-up with an emergency for a tenant.
  • Start Date: Immediate Hire
