Role Description
We are searching for a part-time Care Operations Coordinator to support Malamaβs referral and health plan operations. This role is responsible for submitting referrals to health plans, tracking their status, and supporting recurring operational reporting such as capacity reports. Your work will directly support Care Managers by ensuring referrals move quickly, accurately, and without delays, helping patients unlock the services they need. Role Responsibilities
- Referral Submission & Tracking (Primary Focus)
- Submit referrals to health plans using portals, fax, secure upload, or email
- Track referral status from submission through completion
- Maintain organized tickets of submission confirmations, approvals, rejections, and pending items
- Identify and correct submission errors
- Flag delays or unresolved referrals to operations leadership
- Health Plan WorkFlow Support
- Maintain current knowledge of referral submission requirements
- Document and communicate payer requirement changes
- Maintain reference materials for payer workflows
- Support onboarding of new payer workflows
- Monthly Reporting Support
- Prepare and submit monthly capacity reports and other required payer reports
- Maintain tracking tools used for reporting
- Ensure all reporting deadlines are met
- Who you are (Qualifications)
- 2β4 years of experience in healthcare operations, referral coordination, or payer workflows; experience with Medicaid health plans preferred
- Experience submitting referrals using payer portals, fax, or secure email
- Strong attention to detail and organizational skills
- Experience using support ticketing systems and maintaining manual tracking logs or workflow tools
- Ability to manage multiple referrals at once
- Strong written communication skills
- Experience working with Protected Health Information (PHI) in compliance with HIPAA requirements
- Compensation & Details
- Compensation: $22β$25 per hour, based on experience
- Work Schedule: Approximately 20 hours per week (part-time)
- Occasional flexibility may be required to meet submission or reporting deadlines
- Weekly hours may vary slightly based on referral volume and reporting cycles
- Work Arrangement: Fully remote
