The Delaware Department of Technology and Information (DTI) is committed to providing technology services and collaborative solutions for Delaware. The DTI Administrative Specialist is responsible for maintaining and processing agency information, ensuring confidentiality, and coordinating operational and administrative functions within the agency. Responsibilities Maintains confidentiality and privacy of information Creates official agency word processing documents, databases, spreadsheets, original displays and presentations, forms, brochures and other publications using agency standard software packages Reviews, verifies accuracy and corrects errors in timesheet reporting and leave management systems for team staff and contractors as assigned Serves as liaison with the public, clients and customers, agency staff, vendors and contractors to exchange information and explain agency services, laws, rules, regulations, policies and procedures Assures effective coordination of operational and administrative functions in DTI Establishes tracking and monitoring systems and conducts follow up to ensure effective resolution of matters Obtains, organizes and drafts technical and administrative material necessary for public information or departmental use Collects and compiles data to prepare reports and provide supporting documentation Analyzes routine operating practices and procedures and makes recommendations to ensure smooth and efficient office operation Maintains voicemail, email, calendars and scheduling for individuals, conference facilities, building operations and DTI management and staff Facilitates meetings, videoconferences, teleconferences and other aspects of operational effectiveness Maintains and controls data and/or filing systems to ensure effective, accurate and easily retrievable documentation of operations, program and project activities Skills Six months experience in coordinating office activities such as planning meetings or conferences, tracking workflows and follow up, composing meeting notes, establishing and maintaining filing or record systems, and directing and explaining services to the public or clients/customers Six months experience in document processing activities which includes reviewing and evaluating records for completeness, resolving deficiencies, interpreting information, and tracking and monitoring in conformity with laws, rules, regulations, standards, policies and procedures Six months experience in using standard computer software programs for word processing, spreadsheets or databases Six months experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data Knowledge with interpreting laws, rules, regulations, standards, policies, and procedures Experience using Microsoft Office programs such as Microsoft Word, Excel, PowerPoint and Outlook Benefits Robust hybrid work policy Accommodations for applicants with disabilities Company Overview The Delaware Department of Technology and Information (DTI) is the state's central IT organization, chartered to deliver core services to other state organizations and exercise governance over the technology direction and investments of the state.
