Position Overview
The Data Entry Coordinator serves as the primary custodian of data within the Automated Reentry Management System (ARMS). This role ensures that participant information, verification records, authorizations, and program data are accurately entered, maintained, and reported. You will act as the go‑to point of contact for data‑quality issues and will collaborate closely with program managers, accountants, and external partners.
Key Responsibilities
- Enter and update participant profiles, verifications, in‑custody records, and STOP (Supervision & Treatment of Offenders Program) authorizations in ARMS.
- Maintain the STOP database by performing routine data entry, generating required reports, and exporting data for internal and external stakeholders, including the California Department of Corrections and Rehabilitation (CDCR), arenaflex corporate teams, area managers, program directors, and staff accountants.
- Produce monthly invoices, prepare service verification packets for community‑based programs (CBP), and reconcile any discrepancies identified during data audits.
- Conduct regular data quality reviews, investigate anomalies, and implement corrective actions to ensure compliance with regulatory and program standards.
- Collaborate with the IT and analytics teams to streamline data workflows, suggesting system enhancements that improve efficiency and accuracy.
- Provide timely and professional customer service to internal staff and external partners, addressing data‑related inquiries and troubleshooting issues.
- Assist with ad‑hoc projects, such as data migration, report customization, and process documentation.
- Stay up‑to‑date with relevant regulations, policy changes, and best practices in data management and re‑entry services.
Essential Qualifications
- High school diploma or equivalent; additional education or certifications in office administration, data management, or related fields is a plus.
- Minimum of one (1) year of documented professional experience, preferably in data entry, records management, or a similar clerical capacity.
- Demonstrated proficiency in English language usage, spelling, and grammar.
- Strong maturity and discretion when handling sensitive, confidential information.
- Ability to interpret and comply with program documentation requirements, ethical standards, and professional conduct guidelines.
- Excellent customer‑service orientation combined with polished office communication skills.
- Exceptional organizational and time‑management abilities, with a proven track record of meeting deadlines.
- Competence in reading and interpreting government regulations, legal documents, operating instructions, and procedural manuals.
- Skill in drafting routine reports, correspondence, and documentation.
- Capacity to foster a professional and respectful environment within the STOP Placement Office.
- Proficiency with standard office software (Microsoft Office Suite, especially Excel) and familiarity with database applications; experience with ARMS or similar systems is advantageous.
Preferred Qualifications & Skills
- Previous experience in correctional or re‑entry services, community‑based program administration, or criminal justice settings.
- Certification in data integrity, records management, or information security (e.g., Certified Records Manager).
- Advanced Excel capabilities—pivot tables, VLOOKUP, data validation—and basic knowledge of SQL or data‑query languages.
- Experience generating financial invoices and reconciling fiscal data.
- Demonstrated ability to work independently while also thriving in collaborative, cross‑functional teams.
