Position Overview
The Data Entry Specialist at arenaflex serves as the backbone of our data integrity initiatives. You will be responsible for accurately pulling, reviewing, and posting financial and clinical documents, ensuring that each piece of information is error‑free, properly filed, and available for downstream processes. This role demands meticulous attention to detail, strong organizational skills, and the ability to manage high‑volume phone and computer interactions efficiently.
Key Responsibilities
- Data Collection & Entry (≈90% of time)
- Extract daily reports from radiology information systems and verify them for completeness and accuracy.
- Identify and correct data discrepancies, then forward validated reports to the Manager of Administrative Operations.
- Collect, scan, and upload patient receipts, insurance statements, and payment confirmations to the designated Wells Fargo accounts.
- Maintain an organized digital filing system that adheres to HIPAA privacy standards and internal compliance policies.
- Perform routine quality‑control checks to ensure data consistency across multiple platforms.
- Communication & Support (≈10% of time)
- Answer a multi‑level phone system, handling a high volume of inbound calls from providers, patients, and internal teams with professionalism and empathy.
- Assist colleagues with ad‑hoc data‑related tasks, such as exporting data sets for auditing or generating summary reports for management.
- Participate in team meetings to share insights on workflow improvements and best practices.
- Continuous Improvement
- Provide feedback on software usability and suggest enhancements that could streamline data entry processes.
- Stay up‑to‑date with industry regulations, especially those related to medical billing and data privacy.
Essential Qualifications
Required
- High school diploma or GED (required).
- 1–2 years of experience in customer service and data entry, preferably within a healthcare or financial setting.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheet functions.
- Strong typing skills with a minimum of 60 wpm and a high degree of accuracy.
- Demonstrated ability to navigate multi‑level phone systems and manage high call volumes while maintaining composure.
- Excellent written and verbal communication skills.
- Ability to work independently while adhering to strict deadlines.
Preferred
- Background or coursework in medical terminology, health information management, or related fields.
- Experience with radiology information systems (RIS) or picture archiving and communication systems (PACS).
- Prior exposure to financial reconciliation processes, especially with banking platforms like Wells Fargo.
