The Customer Support Specialist plays a vital role in delivering exceptional customer experiences by addressing and resolving customer inquiries and issues in a timely and professional manner. This dynamic role requires a unique blend of technical skills, problem-solving abilities, and interpersonal skills to ensure seamless communication with customers, internal teams, and external partners.
As a Customer Support Specialist at arenaflex, you will be responsible for correcting errors, following up with process servers, moving orders along, and providing updates and information to customers. Your ability to work collaboratively with other teams will be essential in ensuring that all necessary tasks are completed efficiently and effectively. Key Responsibilities Respond to customer support tickets, including answering questions and resolving issues related to existing orders in a prompt and courteous manner Manage high-volume phone calls to assist customers with existing orders and guide new customers through the online ordering process Respond to emails and address questions and concerns from customers, internal department queries relating to orders or payment on orders, and process servers in the field Document issues in Confluence to ensure accurate record-keeping and facilitate knowledge sharing across the team Visit court dockets for information on case filing and occasionally pull filed papers to verify order status Perform other job-related duties as assigned, demonstrating flexibility and adaptability in a fast-paced environment Qualifications To be successful in this role, you will need to possess a combination of technical skills, customer service experience, and personal qualities that enable you to thrive in a dynamic and customer-focused environment.
The essential qualifications for this position include: High school diploma or GED required; 1-3 years of customer support or call center experience assisting customers over the phone Technology-driven mindset with experience using computer programs such as bolthires Outlook, Excel, and Word, PDF Editor, and phone systems preferred Document manipulation experience and ability to read, write, and speak English fluently Ability to transcribe information, review orders, investigate issues, and implement solutions in a timely and accurate manner Ability to perform repetitive tasks with accuracy and maintain a high level of work product in often stressful situations Ability to anticipate issues and circumvent them, implementing new processes and changes to improve performance Typing speed of at least 55 wpm and excellent communication and interpersonal skills Preferred Qualifications While not essential, the following qualifications will be considered an asset for this role: Previous experience in a legal services or filing industry Familiarity with Confluence or similar documentation tools Experience working in a remote or virtual team environment Bilingual or multilingual skills, with the ability to communicate effectively with customers and colleagues from diverse backgrounds Skills and Competencies To excel in this role, you will need to possess a range of skills and competencies, including: Customer service skills : ability to deliver exceptional customer experiences, responding to customer inquiries and resolving issues in a timely and professional manner Technical skills : proficiency in using computer programs, phone systems, and documentation tools to manage customer interactions and resolve issues Communication skills : excellent verbal and written communication skills, with the ability to communicate effectively with customers, internal teams, and external partners Problem-solving skills : ability to analyze issues, identify solutions, and implement changes to improve performance and customer satisfaction Time management skills : ability to prioritize tasks, manage multiple priorities, and meet deadlines in a fast-paced environment
