The successful candidate will be responsible for managing our IT infrastructure, coordinating events and meetings, and providing exceptional support to our team members. Key Responsibilities Direct and manage the daily operations of the office, including answering and screening phone calls, greeting visitors, opening and distributing mail, and processing office requests Develop and implement functional plans, crisis preparedness plans, and project management initiatives to ensure the efficient operation of the office Act as the primary contact for all office and building matters, including maintenance issues, inspections, backup systems, procurement and inventory of equipment, furniture, office supplies, and technology Oversee the IT needs of the organization, including troubleshooting and communication with IT vendors, ensuring IT meets industry standards, managing hardware and software needs, and establishing IT policies and procedures Provide operational guidance to new employees, including employee introductions, office tours, technology onboarding, and sharing of systems and practices to ensure a welcoming onboarding process Collaborate with internal staff to plan and execute events, meetings, and conferences, and provide backup technical and logistical support for external events as needed Ensure the confidentiality of sensitive information both internally and externally Work closely with the Executive Director on risk management and compliance Essential Qualifications To be considered for this role, you must have: A Bachelor's degree in a related field, with at least 3 years of experience in operations management or a similar role Proficiency in written and spoken English Strong project management skills and attention to detail Ability to self-direct, prioritize tasks, and work on multiple projects simultaneously Excellent communication and interpersonal skills, with the ability to work effectively in a team environment High level of IT proficiency, including experience with O365, SharePoint, and other bolthires applications Preferred Qualifications and Experience While not required, the following qualifications and experience are preferred: Office management experience, particularly in a small business or non-profit setting Experience with change management, software implementation, and systems development Formal project management training or certification Experience working in a private company with 25-35 staff members Familiarity with HRIS and database management Skills and Competencies To succeed in this role, you must possess the following skills and competencies: Strong analytical and problem-solving skills, with the ability to think critically and outside the box Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, stakeholders, and external partners Ability to work independently and as part of a team, with a strong sense of accountability and responsibility Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously Adaptability and flexibility, with the ability to pivot quickly in response to changing circumstances
