About the position
The Regulatory Services Specialist is responsible for facilitating the operational success of all mission-related Regulatory activities. This role ensures that services are professionally arranged in a timely manner in accordance with all applicable policies, procedures, regulations, and client preferences by collaborating closely with governing bodies, external vendors, service providers, internal team members, and other departments. The specialist coordinates directly with Universal's clients on all aspects of their regulatory needs, capturing these needs and developing them into a functioning plan to facilitate requirements.
The advisor serves as a liaison between TSS clients and worldwide agencies to ensure compliance with regulatory requirements. Additional duties may be assigned to ensure the successful completion of client missions. Responsibilities β’ Communicate directly with clients to process regulatory requirements under minimal supervision. β’ Provide clients with current and accurate regulatory information during all aspects of the tripload process. β’ Disseminate regulatory service requests to governing bodies, vendors, and other service providers as documented in the trip write-up process.
β’ Communicate directly with governing bodies, vendors, and other service providers to complete service confirmations for requested regulatory products and services. β’ Collaborate with internal Universal departments and worldwide governing officials to ensure compliance with all regulatory requirements related to trip schedules, destinations, traveler requirements, aircraft specifications, and other pertinent factors. β’ Perform specialized regulatory services directly on the customer's behalf. β’ Monitor mission support system to ensure all regulatory details are completed and all services are acknowledged and confirmed according to required lead times, curfews, operating hours, and other time-driven factors.
β’ Check messages and requests before transmission and thoroughly review each folder upon completion of the assigned task to ensure accuracy. β’ Identify issues and work with peers and management; assist in the development of solutions to improve quality of service. β’ Complete other duties and projects as assigned. Requirements β’ Minimum of five (05) years of work experience; experience in aviation or another highly regulated industry is a plus. β’ Completion of high school, vocational school, or equivalent; some college or equivalent military experience required.
β’ Bilingual in Spanish with the ability to speak, read, and write is preferred. β’ Familiarity with Department of Homeland Security, international travel rules, regulations, and restrictions desired. β’ Must be proficient and capable of working in a computerized office environment including knowledge and skill in bolthires Office Suite. β’ Ability to navigate multiple databases simultaneously to provide services to clients in a timely and efficient manner. β’ Excellent interpersonal skills and customer service skills.
β’ Ability to proactively lead conversations and gather information to ensure client satisfaction. β’ Ability to work under pressure and prioritize actions according to deadlines and changing environment. β’ Ability to use a multi-line telephone including placing calls on hold, transferring calls, and setting up conference calls. β’ Ability to apply military time using a 24-hour clock. β’ General knowledge of geography and the ability to determine how it relates to travel. β’ Ability to apply attention to detail to ensure accuracy of data entered into proprietary trip support system.
β’ Ability to effectively cope with change and handle risk and uncertainty. β’ Active listening skills to clearly understand client requests and anticipate client needs. β’ Ability to apply basic math skills to accurately calculate flight schedules.
