We are looking for a reliable and detail-focused Virtual Assistant to support HubSpot CRM administration and accounts support. This role is heavily focused on accuracy, follow-up, and systems discipline. You will work primarily inside HubSpot (Sales & Service tools) and QuickBooks, supporting credit control, customer records, and service activity. This is not a sales role. βΈ» Key Responsibilities HubSpot CRM Support (Core Focus) β€’ Maintain accurate contact, company, deal, and ticket records in HubSpot β€’ Log emails, notes, calls, tasks, and follow-ups correctly β€’ Update deal stages, ticket statuses, and activities for sales and service teams β€’ Ensure CRM data is clean, accurate, and up to date β€’ Assist with basic HubSpot reporting and activity tracking Accounts & Credit Control Support β€’ Send payment reminders and follow up on overdue invoices β€’ Record payment updates and customer communications accurately β€’ Support collections activity in a professional, customer-focused manner β€’ Assist with basic QuickBooks administration (invoice tracking, account updates) General Admin Support β€’ Support day-to-day admin tasks related to CRM and accounts β€’ Ensure information is consistent across systems β€’ Escalate issues clearly when required βΈ» Required Skills & Experience β€’ 1–2 years experience using CRM systems (sales and service tools) β€’ Hands-on experience using HubSpot CRM β€’ Experience supporting accounts administration or credit control β€’ Experience using QuickBooks or similar accounting software β€’ Strong attention to detail and excellent organisational skills β€’ Ability to work independently and follow defined processes β€’ Excellent spoken and written English (mandatory) βΈ» Nice to Have (Not Required) β€’ Experience using Fishbowl Inventory or similar inventory/ERP systems β€’ Experience supporting B2B or trade customers βΈ» Working Details β€’ Remote (Philippines-based preferred) β€’ Part-time initially, with potential to increase hours β€’ Long-term role for the right candidate IMPORTANT – APPLICATION REQUIREMENTS Applications must include: 1.
