About the role

10 West Real Estate Group is seeking a Lease Administration Coordinator (Independent Contractor) to support leasing operations across a growing multifamily portfolio. This is a fully remote, contract-based role focused on the administrative side of leasing, including application processing, lease preparation, and tenant onboarding.

You’ll work closely with the Operations Manager and support multiple properties at once, helping ensure applications move efficiently from submission through move-in. This role is critical to keeping leasing operations organized, accurate, and on schedule.

This is not a decision-making role. You’ll be responsible for the documentation, coordination, and follow-through that allows the Operations team to make informed approval decisions and keep the leasing pipeline moving.

  • Identify missing or incomplete information and follow up with applicants
  • Compile and organize application files for Operations Manager review
  • Maintain accurate and detailed records of applicant communications and status updates
  • Ensure all documentation aligns with company screening standards and Fair Housing requirements
    Lease Documentation Preparation
  • Prepare lease agreements and renewal documents using company templates
  • Ensure lease terms and property-specific provisions are accurately reflected
  • Submit completed lease packages for final review prior to delivery
  • Coordinate electronic document delivery and signature collection
    Tenant Move-In Coordination
  • Guide approved applicants through onboarding requirements
  • Verify completion of all required documentation, payments, and utility transfers
  • Confirm tenant ledger accuracy prior to move-in
  • Coordinate move-in scheduling and communicate details to Property Managers
  • Transition completed files to onsite teams once onboarding is complete
    Documentation & Systems Management
  • Maintain organized, audit-ready records in AppFolio or other designated systems
  • Track workload and task completion across multiple properties
  • Communicate proactively on application status, delays, or issues
  • Ensure all communication is documented through approved company channels
    Qualifications
  • 2–3+ years of experience in property management, leasing administration, or related real estate operations
  • Experience reviewing rental applications and preparing lease documentation preferred
  • Strong attention to detail. You catch mistakes others miss
  • Ability to manage multiple applications and onboarding workflows at the same time
  • Highly organized with strong time management skills in a remote environment
  • Clear and professional written communication
  • Experience with AppFolio or similar property management systems preferred
  • Bachelor’s degree in Business, Real Estate, or a related field preferred
    Compensation and Benefits
  • Hourly contract rate of $9.00 – $11.00 per hour, based on experience
  • Up to ~40 hours per week depending on leasing volume
  • Flexible schedule with expected overlap with Central Time business hours (9:00 AM – 5:00 PM CST)
