Job Description
We are seeking a detail-oriented and experienced Corporate Travel / Logistics Coordinator & Personal Assistant to join our team on a part-time, remote basis. In this hybrid role, you will be responsible for coordinating all staff and equipment travel and logistics, as well as providing high-level personal support to company executives. The ideal candidate will have prior experience in a corporate travel or executive assistant setting, be highly organized, and able to manage multiple priorities independently.
Key Responsibilities
- Travel & Logistics Coordination
- Book Flights: Coordinate domestic and international flights, ensuring cost-effective and time-efficient travel.
- Book Hotel Accommodations: Secure hotel bookings that align with travel itineraries and company budget.
- Book Car / Truck Rentals: Arrange suitable ground transportation, including rental cars and trucks as needed.
- Manage Travel Requests (TRs): Handle internal travel request processes and documentation.
- Book and Track Shipments: Coordinate and monitor cargo logistics, including Delta Cargo shipments and Air Tag tracking where applicable.
- Generate Travel Itineraries: Create and distribute detailed, customized travel itineraries for each traveler.
- Maintain Travel Records: Keep accurate records of travel expenses, bookings, and confirmations for internal reporting.
- Personal Assistant Support
- Schedule Management:Assist with scheduling personal and professional appointments, meetings, and reminders for executives. Organize files and manage projects.
- Online Research:Conduct research for both business and personal needs and/or projects such as sourcing , event reservations, travel destinations ( domestic and international ) , or vendor comparisons.
- Personal Travel Planning: Support executives with planning and booking personal or family travel, ensuring separation from corporate accounts and billing.
- Expense Tracking: Assist with tracking personal expenses and reconciling receipts for reimbursement or tax purposes.
- Qualifications
- Prior travel agency or corporate travel experience required
- Experience supporting executives or providing personal assistant services is a plus
- Familiarity with airline, hotel, and car rental booking systems
- Strong organizational skills and keen attention to detail
- Ability to manage multiple projects, priorities, and deadlines simultaneously
- Excellent written and verbal communication skills
- Tech-savvy: Comfortable with booking platforms, calendars, expense tools, and basic tracking tech (e.g., Air Tags)
- Discreet and trustworthy, with the ability to handle confidential personal matters
- Self-motivated and able to work independently from a remote location
- Remote / Work-from-Home and work-from-office next to FLL airport.
- Flexible hours, but must be responsive during core business hours
