We are seeking a reliable, detail-oriented Administrative Assistant to support daily operations and help ensure smooth communication, scheduling, and administrative workflows.
Position Summary
The Administrative Assistant plays a key role in supporting clinical and administrative operations. This position is ideal for someone who is organized, proactive, tech-savvy, and comfortable working in a mental health setting where confidentiality and professionalism are essential. MUST BE PEOPLE FRIENDLY. This is not a position for someone who is not comfortable speaking with individuals directly.
- Key Responsibilities
- Manage incoming calls, emails, and client inquiries in a timely and professional manner
- Explain the process of services to potential clients
- Schedule, reschedule, and confirm client appointments
- Assist with intake paperwork, forms, and document management
- Maintain accurate client and administrative records (HIPAA-compliant)
- Support billing, invoices, and basic insurance verification (training provided if needed)
- Coordinate communication between clinicians, clients, and leadership
- Assist with internal tracking, reports, and administrative projects
- Uphold confidentiality and ethical standards at all times
- Required Qualifications
- High school diploma or equivalent (Associate’s degree preferred)
- Previous administrative, office, or customer service experience
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfort using email, calendars, Google Workspace, and basic office software
- Ability to handle sensitive information with discretion and professionalism
- Preferred (Not Required)
- Experience in a healthcare or mental health setting
- Familiarity with EHR systems (e.g., SimplePractice, AdvancedMD, Epic, etc.)
- Experience with scheduling, billing support, or insurance processes
- Ability to work independently and problem-solve

Compensation
Competitive hourly pay, based on experience
Part-time initially, with opportunity to grow
