Part-Time Executive Assistant / Coordinator w/ construction experience ideal – Overseas Candidates Only
About Us:
We are a fast-growing construction firm seeking a versatile and detail-oriented Executive Assistant / Project Coordinator based overseas to support our leadership team. This is a remote, part-time position with the potential for promotion to a full-time role for the right candidate based on performance and business needs.
Position Overview:
The ideal candidate will provide administrative and project coordination support for construction projects while also handling digital marketing, CRM management, and recruiting assistance. This is a dynamic, multi-functional role requiring excellent time management, communication, and organizational skills.
Key Responsibilities:
- Administrative & Executive Support
- Manage executive calendars, appointments, and daily schedules
- Handle email and phone correspondence, inbox management, and task tracking
- Conduct research, draft documents, and prepare presentations and reports
- Organize and maintain digital files and records
- Support invoicing, expense tracking, and basic financial reporting
- Coordinate virtual meetings, draft meeting minutes, and follow up on action items
- Construction Project Coordination
- Track project schedules, deliverables, and deadlines
- Assist in following up with contractors
- Help coordinate with vendors, subcontractors, and project stakeholders
- Maintain and organize project-related documents including contracts,
- CRM & Database Management
- Maintain CRM systems with up-to-date client and lead data
- Track sales activities, project leads, and follow-up tasks
- Assist with email campaign setup, tracking, and automation
- Generate insights and reports from CRM for business development
- Digital Marketing & Social Media
- Manage and schedule posts on LinkedIn, Instagram, and other platforms
- Assist with content creation for newsletters and promotional materials
- Recruiting & HR Support
- Assist with job postings, resume screening, and interview scheduling
- Coordinate onboarding documents and training materials
- Maintain applicant tracking systems and recruiting reports
- Qualifications:
- Prior experience in construction project coordination or related field preferred
- Proficient in Microsoft Office Suite, Google Workspace, and CRM platforms
- Strong written and verbal English communication skills
- Highly organized, self-motivated, and capable of working independently
- Must be available to work EST hours (part-time, approx. 20 hours/week)
