Job Description for Patient Experience Specialist / Virtual Receptionist for No Diet Dietitian
We are a team of Registered Dietitian Nutritionists on a mission to help our clients feel their best, and achieve their goals in a positive and sustainable way. We are a fast-growing company and need a virtual administrative assistant that is super organized, great with customer service, and comfortable with discussing invoices and client balances.
Your Competencies:
Β As the primary customer service representative, the receptionist will handle all incoming calls according to the office guidelines and ensure that the customer experience excellent and continuously improving.
Β Excellent communication skills. Must enjoy talking to people and have the ability to make every incoming caller feel special. This is the first impression of the practice.
Β Collect patient information and schedule appointments, invoice and collect the patient balance and no-show fee, submit claims and follow up on denied claims
Β Confirm next day appointments and alert patients as to what documentation is needed
Β Retrieve e-faxes and send electronic faxes to primary care offices
Β Follow up with patients regarding the Missed Appointment Policy and send out appropriate communications.
Β Intermediate skills using Google Suite (Gmail, Sheets, Docs, Chat, etc)
Β Working knowledge of HIPAA guidelines, handling sensitive information and medical records
Β Proficient using technology and troubleshooting
Β Detail oriented - accurately collect patient information, update the master tracker spreadsheet and other systems
Β Assist with project support when needed
Β Assist with the coordination of meetings
Β Serve as first-line for patients who have a complaint or grievance
Β Comfortable discussing financial matters with patients
Β Call health insurance for customer support
Β Miscellaneous administrative reporting for the COO and CEO
Β Build relationships to promote a collaborative environment
Β Be accountable for your performance
Β Take initiative for your professional growth
Β Other duties as assigned
Β Be engaged and eager to build a winning team
Qualifications
Minimum Qualifications:
Β Comfortable/ intermediate using Microsoft office products, specifically Excel
Β Strong customer service background
Β BachelorΒs Degree (preferred) and/or High School Diploma/GED
Β 1-2 years of administrative or receptionist experience
Β Knowledge of insurance authorization/billing requirements (preferred)
