Job Description
Why Join Our Dynamic Team? At Apex Construction Solutions, we are redefining how the building industry interacts with municipal authorities. With a portfolio that spans residential complexes, commercial high‑rises, renewable‑energy installations, and mixed‑use developments across multiple states, we have built a reputation for delivering projects on‑time, on‑budget, and in full compliance with every local regulation. Our success is driven by a culture of collaboration, continuous learning, and an unwavering commitment to safety and sustainability. As a Remote Permit Expediter , you will become a critical bridge between our project managers, design engineers, and the government agencies that safeguard our built environment. Whether you work part‑time or transition to a full‑time schedule, you will enjoy the flexibility of a remote work model while still engaging directly with municipal offices, stakeholders, and on‑site teams as needed. Position Overview The Permit Expediter role is a cornerstone of our delivery pipeline. In this position, you will own the end‑to‑end permit lifecycle—from initial research and application preparation to final approval and documentation archiving. You will work closely with architects, civil engineers, construction supervisors, and external consultants to ensure that every project meets local building codes, zoning requirements, environmental regulations, and any special‑use conditions that may apply. Operating from your home office, you will leverage advanced permit‑tracking software, cloud‑based collaboration tools, and your deep knowledge of municipal processes to accelerate approvals, mitigate costly delays, and keep our clients and internal teams fully informed. Key Responsibilities Permit Application Management: Prepare, review, and submit complete permit packages—including construction drawings, engineering calculations, environmental impact statements, and any required supporting documentation—ensuring 100% accuracy and compliance. Regulatory Research & Monitoring: Conduct ongoing research of local building codes, zoning ordinances, fire safety regulations, accessibility standards, and any emerging legislative changes that could affect current or future projects. Stakeholder Coordination: Serve as the primary point of contact with municipal planning departments, building inspectors, fire marshals, environmental agencies, and other regulatory bodies; schedule and attend hearings, public meetings, and site inspections as required. Issue Identification & Resolution: Proactively identify potential obstacles—such as missing documents, code conflicts, or community concerns—and develop remediation strategies in partnership with project teams and external consultants. Documentation & Record‑Keeping: Maintain a detailed, searchable database of all permit submissions, approvals, correspondence, and revisions using our proprietary permit‑tracking platform and standard Microsoft Office tools. Status Reporting: Provide regular, concise updates to project managers and senior leadership on permit progress, expected approval timelines, and any risks that may impact schedule or budget. Relationship Building: Cultivate professional relationships with key officials in multiple jurisdictions, fostering goodwill that can expedite future applications and provide insight into best practices. Process Improvement: Analyze permit workflow metrics, recommend process enhancements, and contribute to the development of standard operating procedures that increase efficiency and reduce turnaround times. On‑Site & Office Presence: While the role is remote, occasional travel to municipal offices, project sites, or client meetings may be required; a valid driver’s license and reliable transportation are essential. Essential Qualifications Minimum three (3) years of hands‑on experience as a Permit Expediter, Permit Coordinator, or related role within the construction, engineering, or architecture sectors. Demonstrated mastery of local building codes, zoning regulations, fire safety standards, and accessibility requirements across at least two different jurisdictions. Proficiency in interpreting and reviewing construction documents, architectural drawings, structural calculations, and environmental impact assessments. Exceptional organizational and time‑management abilities with a proven track record of handling multiple concurrent permit streams without compromising quality. Outstanding written and verbal communication skills, including the ability to draft clear, persuasive correspondence with government officials and internal stakeholders. Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience using specialized permit‑tracking or project‑management software (e.g., Procore, Buildertrend, e-Builder). Valid driver’s license, reliable personal vehicle, and willingness to travel to municipal offices or project sites as needed. Preferred Qualifications & Nice‑to‑Have Experience Bachelor’s degree or higher in Construction Management, Architecture, Civil Engineering, or a related discipline. Hands‑on experience navigating multiple municipalities or counties , especially in fast‑growing urban markets. Familiarity with special use permits, variances, conditional use approvals, and zoning change processes. Knowledge of environmental compliance (e.g., stormwater management, NEPA, LEED certification) and related permitting requirements. Experience submitting permits for both commercial (office, retail, industrial) and residential (single‑family, multifamily) construction projects. Demonstrated ability to negotiate and resolve conflicts with regulatory agencies, community groups, and internal teams. Core Skills & Attributes for Success Detail‑Oriented: A meticulous eye for accuracy in documentation, code compliance, and deadline management. Problem‑Solver: Ability to anticipate challenges, devise practical solutions, and implement corrective actions swiftly. Interpersonal Excellence: Strong collaborative skills, professionalism, and diplomacy when dealing with government officials and diverse internal teams. Self‑Motivation: Capacity to work independently in a remote environment while maintaining high productivity and accountability. Negotiation & Conflict Resolution: Skilled at finding win‑win outcomes during permit reviews, plan revisions, and stakeholder meetings. Adaptability: Comfortable with evolving regulations, shifting project priorities, and the occasional urgent on‑site visit. Technological Fluency: Comfort using cloud‑based collaboration platforms, digital document management, and data analytics tools.
