MyInsuranceGuy is a family-owned brokerage seeking a highly organized, customer-focused Reception and Intake Administrator. In this role, you will act as the first point of contact for clients, providing essential administrative support to licensed agents and managing client interactions across various insurance lines. Responsibilities Respond promptly to customer inquiries via phone and email with a warm, professional demeanor Manage and coordinate schedules for our five-person production team (Mike Sr., Karen, Michael, Trenton, and Sarah) Screen and route incoming calls effectively, taking detailed messages and directing clients to the appropriate specialist Monitor the general agency email inbox to ensure timely responses Conduct initial 'intake' interviews with prospective clients to gather necessary data for quotes (P&C, Medicare, and Group Benefits) Accurately input intake information into our CRM or agency management system for licensed agents to review Schedule follow-up appointments to ensure a seamless transition from intake to the sales process Process client payments securely over the phone Assist clients with routine billing changes, such as updating payment methods or mailing addresses Provide clients with basic documents, including auto ID cards, proof of insurance, and policy declaration pages Maintain accurate digital records and assist with general agency organization, including scanning and filing Skills Excellent interpersonal and communication skills (written, verbal, and listening) 1β2 years of experience in an administrative, receptionist, or customer service role Proficiency in Google Workspace and the ability to quickly learn CRM software or agency management systems Dependable, punctual, and capable of maintaining strict client confidentiality High school or equivalent (Required) Customer service: 2 years (Required) Willingness to learn industry terminology and guidelines Experience in insurance, real estate, or medical environments is a strong plus Benefits 50% Employer-paid Medical premium. $2,150 annual Employer contribution to HSA. 100% Employer-paid Dental & Vision premiums.
