About the position
The Records Management Analyst supports modernization of records policies, disposition schedules, and operating practices. This role helps assess current/proposed records policies, supports development of standard operating procedures (SOPs) for both electronic and paper records, assists with staff training/knowledge transfer, and provides hands-on implementation support—especially identifying permanent vs. temporary records, records eligible for disposal, and records ready for transmittal to NARA. Work Location Hybrid: on-site in Washington, DC for records review/implementation activities as scheduled; remote support via Microsoft Teams for meetings, training, and deliverable reviews.
- Responsibilities
- Records Review & Policy Update Support Review existing and proposed records policies and disposition schedules; document gaps and inconsistencies against NARA GRS and applicable federal records requirements as applied to records.
- Support preparation of line-by-line edits and recommended modifications to improve compliance and operational clarity.
- Assist with packaging a draft disposition schedule for submission to NARA and tracking feedback/resolution items.
- SOP Development & Training Support Draft, refine, and format SOPs that are “clear and concise” and usable by non-specialists across offices.
- Develop SOP content covering (as applicable by office): Support delivery of training (live sessions and/or materials) on best practices for creation, maintenance, retention, and disposal of federal records and procedures.
- Implementation Support Work with staff to operationalize policies/SOPs and disposition schedule by office/functional area.
- Assist with maintaining clear documentation of decisions, inventories, and progress for acceptance.
- Project Reporting & Coordination Contribute to weekly updates and bi-weekly progress reporting (progress, challenges, corrective actions, % completion against milestones).
- Participate in regular virtual meetings and scheduled walkthroughs/presentations of deliverables.
- Requirements
- Demonstrated experience with records management, records retention, and/or records policy implementation in a regulated environment.
- Working knowledge of NARA General Records Schedules (GRS) and federal records management principles (e.g., retention, disposition, permanent vs. temporary categorization).
- Experience drafting SOPs or operational documentation for business processes.
- Strong writing/editing skills (able to produce concise, user-friendly SOPs).
- Ability to work with stakeholders across multiple functional areas and translate requirements into usable practices.
- Must comply with federal privacy/confidentiality regulations including the Privacy Act.
- Must pass background checks and sign NDAs if accessing sensitive information.
- Nice-to-haves
- Prior federal (or federal judiciary) records management experience.
- Familiarity with mapping organizational records to retention schedules and preparing documentation for disposition actions and transfers.
- Training facilitation experience (virtual and/or in-person).
