The Practice Support Specialist serves as the primary contact for patients and partners, ensuring a positive experience by managing scheduling, insurance verification, and facilitating communication between teams.
Responsibilities
- Answer incoming phone calls and address inquiries, complaints, and support requests from patients, partners, and staff
- Identify and route urgent or crisis-related calls following clinical escalation protocols
- Manage support tickets and ensure timely resolution for each requester
- Collaborate with Clinical, Billing, and Care Coordination teams to ensure smooth handoffs and request resolutions
- Verify insurance eligibility and update patient information across systems accurately
- Assist patients with scheduling, rescheduling, registration, platform access, and other care-related needs
- Respond to medical record requests promptly and in line with policies and regulations
- Accurately document all interactions according to standard procedures
Skills
- High school diploma or GED required; bachelor's degree strongly preferred
- Ability to work remotely during Eastern Time business hours in a quiet, professional home office
- 1-2 years experience in customer service, patient experience, or customer success roles
- Empathetic, patient, and professional communication skills
- Strong problem-solving skills with dedication to follow-through and positive outcomes
- Highly organized with attention to detail and ability to manage multiple priorities
- Ability to work in a HIPAA-compliant manner and maintain confidentiality
- Self-motivated, dependable, and comfortable working independently and collaboratively
- Adaptability to evolving processes in a small, fast-paced team environment
- Comfortable using multiple software platforms and web applications
- Experience with Zendesk or similar ticketing systems is a plus
- Prior experience in a medical or behavioral health setting is a plus
