Position Overview
This remote recruiting role focuses on backend system maintenance, candidate database management, and recruitment coordination with minimal phone interaction. The position emphasizes data integrity, inventory management, and systematic candidate engagement through digital channels.
Key Responsibilities
- System Cleanup & Maintenance
- Clean up and organize Bullhorn ATS tear sheets by removing outdated or non-viable candidates
- Audit candidate records to ensure all information is complete, accurate, and up-to-date in proper system fields
- Update candidate statuses (available, placed, not interested, DNU) based on engagement responses
- Maintain role-specific tear sheets (Medical Assistant - Houston, Administrative - Dallas, etc.) for quick candidate access
- Remove unresponsive candidates from active inventory after 7 days of no engagement
- Ensure all pre-screening information is entered in appropriate fields for team accessibility
- Candidate Database Management
- Review and process Indeed, LogicMelon, and other job board applicants (applications completed, PDs - send over to Ms. Wash)
- Screen resumes against job requirements and internally reject non-qualified candidates with documented reasons
- Create and maintain organized inventory lists by specialty and location
- Update candidate files with current availability, certifications
- Review unemployment lists and identify viable candidates for re-engagement
- Process re-engagement campaign responses and update candidate records accordingly
- Digital Candidate Engagement
- Conduct weekly engagement with all candidates on tear sheets via text and email
- Send mass text and mass email campaigns to specific candidate pools
- Respond to candidate inquiries via email and text during designated communication blocks
- Re-engage existing candidates before recruiting new ones for open positions
- Document all candidate interactions in Bullhorn using appropriate message actions
- Recruitment Support
- Run keyword searches in Bullhorn using job descriptions to identify qualified candidates
- Send initial candidate blasts for new orders before assignment to staffers
- Submit qualified candidates to clients within 72 hours of order receipt
- Track submission timelines and time-to-fill metrics
- Prioritize requisitions based on client urgency and available candidate pool
- Required Skills & Qualifications
- Strong attention to detail and organizational skills
- Experience with Applicant Tracking Systems (Bullhorn preferred)
- Excellent written communication for email and text engagement
- Ability to work independently and manage time effectively
- Understanding of healthcare staffing and common job titles/requirements
- Comfortable with technology and digital communication tools
- 1+ year of recruiting, staffing, or HR experience preferred
- Success Metrics
- Number of candidate records updated daily (target: 25-30)
- Tear sheet accuracy and organization
- Response rate to re-engagement campaigns
- Time-to-submission for new orders (within 72 hours)
- System cleanliness (no orders open without documentation beyond 48 hours)
- Candidate engagement rate (weekly contact with all active inventory)
- Quality of candidate screening (accuracy of qualifications matching)
