We’re growing fast and looking for a detail-obsessed, creative, get-it-done Retreats & Events Operations Coordinator to join our remote team. This role sits at the intersection of event logistics and brand marketing. You’ll be the person who makes sure every retreat runs like clockwork — and that our events look as good as they feel. You’ll work closely with our COO and CEO and be a key part of the team that shows up for thousands of women across the country. Company provides all software access. Background Check | Required — criminal check and 2–3 professional references as condition of offer What You’ll Do Event Logistics Coordinate venue and meeting space confirmations for camps and retreats Manage flight manifests, allergy lists, and attendee documentation Confirm tables, cocktail hours, and reserved dinner spaces with resort partners Coordinate boat excursions and special experiences (e.g., Turks & Caicos events) Assign coaches to events and gather their availability across the calendar Track and update event numbers as registrations change Finalize itineraries for both clients and staff; coordinate details with event leads Update staff workbook for each event in coordination with event leads Own the Retreats inbox — monitor, respond, and route as appropriate Retreat Communications Own and send the retreat email communication Coordinate email content with event leads to ensure accuracy and alignment Track email delivery and follow up on any outstanding attendee actions Retreat Operations & Tracking Owner of the Retreat Metrics — keep all retreat milestones, pacing, and task assignments current Run the retreat portion of the weekly team meeting: present status updates, flag risks, and drive accountability across owners Maintain and update the Retreats Document SOP as processes evolve Procurement & Ordering Order event merchandise to include managing sizes, quantities, and delivery timelines for all events Coordinate vendors and confirm delivery to event locations on time Marketing & Design Develop visual assets and promotional materials using common design platforms Coordinate production and distribution of printed marketing pieces for upcoming events Provide digital files to partner locations and ensure successful delivery Maintain brand consistency and support timely preparation for event needs What We’re Looking For Must-Haves 2–3 years of experience in event coordination, hospitality, or operations Obsessive attention to detail — you catch what others miss Strong communicator who can represent our brand warmly and professionally Comfortable managing multiple vendors, deadlines, and moving parts simultaneously Proficient in Canva or similar design tools — you have a good eye for brand Self-starter who doesn’t need hand-holding to get things done Comfortable with remote work and online tools (Google Workspace, Canva, GoHighLevel, etc.) Able and willing to travel to events as needed — domestic and international Highly organized with the ability to own recurring systems and trackers independently Nice-to-Haves Background in women’s sports, fitness, or wellness Experience working with resort or hospitality partners Familiarity with Go High Level or similar CRM/automation tools Experience with print production and vendor coordination Pickleball player or enthusiast — you get what we’re building Who You Are You thrive in organized chaos. Compensation & Benefits This role starts at $20.00/hour at 15–20 hours per week, with the opportunity to grow into a full-time position as Empowher Pickleball continues to scale. Health insurance Performance Expectations This role is evaluated on the following core dimensions: Retreat logistics accuracy — attention to detail & problem solving Email cadence ownership — all retreat communications sent on time and tracked Retreat Rhythmics Tracker maintained — always current, no stale data Vendor and procurement management — orders confirmed and delivered on time Brand standards compliance — all materials on-brand, approved, and delivered on deadline Communication — proactive, clear, and reliable with team leads and leadership Formal performance check-ins occur at 30 days, 90 days, and annually thereafter. Ongoing feedback is provided directly by the COO and CEO.
