Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional communication skills and a strong background in human resources management, project management, and administrative functions. This role requires a strategic thinker who can effectively manage multiple priorities while maintaining a high level of professionalism and confidentiality. This is a volunteer/intern unpaid position for now.
- Responsibilities
- Provide comprehensive administrative support to executives, including managing schedules, coordinating meetings, and preparing reports.
- Assist in human capital management activities such as talent acquisition, employee orientation, and performance management.
- Collaborate with HR teams on employee relations, benefits administration, and compliance with employment & labor law.
- Support change management initiatives and strategic planning efforts within the organization.
- Manage data entry and maintain HRIS systems (such as Workday, ADP, or Oracle HCM) for accurate employee records.
- Facilitate training & development programs and assist with succession planning efforts.
- Coordinate projects related to organization design and workforce management.
- Conduct research and data collection to support executive decision-making processes.
- Utilize social media management tools for employer branding and recruitment initiatives.
- Ensure compliance with OSHA regulations and affirmative action planning requirements.
- Requirements
- Proven experience as an Executive Assistant or in other administrative roles with a focus on human resources.
- Strong knowledge of HR practices including FMLA, workers' compensation, talent management, and performance management.
- Familiarity with ATS systems (such as Lever, Taleo, or iCIMS) for recruitment processes.
- Proficiency in HR software (e.g., Paychex, Dayforce, Ceridian) and Microsoft Office Suite.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously while meeting deadlines.
- Strong communication skills both written and verbal to effectively interact with various stakeholders.
- Experience in project management methodologies is preferred.
