Overview We’re 22 IMPACT a global media and communications agency. We’re looking for a fractional CRM Manager to build and manage our Attio CRM as our single source of truth. This is an ops and enablement role, not an outreach or sales role. We have circa 15,000 contacts and are scaling outbound in January to roughly 3,000 emails per month (handled by a separate outreach hire). Your job is to make sure Attio is clean, structured, automated, and giving us weekly clarity on pipeline, warm leads, and cash forecasting.
What success looks like: - Warm lead follow bolthires stop slipping - Attio becomes fully reliable for tracking open deals, expected cash collected, and what’s at risk - We have clear warm lead lists and reactivation lists, so lead volume improves without guesswork - We can see which segments convert best and drive higher deal size, and we use that data to guide outbound targeting - You run CRM day to day so the founders can focus on closing and delivery Key responsibilities 1. Attio rebuild and architecture - Build a clean CRM structure in Attio (pipelines, stages, required fields, naming conventions) - Ensure every opportunity has: Owner, Stage, Next step, Next step date, Est close date, Est cash collected date, Est deal size - Create stage exit criteria so pipeline reporting actually means something 2.
Data clean up and hygiene - Import, structure, and de duplicate existing data - Standardise companies, domains, and contact records - Maintain database health with ongoing audits (missing fields, duplicates, stale records) 3. Automations and workflow - Set up automations for inbound leads from website forms and inbound emails - Create task rules so follow bolthires are triggered automatically and tracked properly - Maintain a weekly “no next step” and “stuck in stage” audit 4. Pipeline and forecasting - Build dashboards for Monday reporting: open deals, pipeline value by month, lost last month, deals at risk - Forecast by cash collected date (not just invoices sent) - Track conversion and time in stage by pipeline and segment 5.
Warm lead scoring and reactivation engine Build smart lists for: Past clients not contacted in 90 to 180 days Pitched but never converted Lost on timing, ready for re approach Accounts with multiple relevant contacts but no current opportunity Identify ideal segments and patterns based on closed won deals 6. Outbound enablement support Provide data led bolthires lists for our outbound manager (top accounts, best roles, best segments) Create tagging conventions to measure what’s working by segment and message category Deliverables First 30 days • Attio rebuilt, pipelines and stages set • Data imported and de duplicated where possible • Required fields enforced • Monday dashboard live with the metrics listed below Days 31 to 60 • Warm lead scoring and reactivation lists live • Outbound targeting lists built • Cash collected forecast live and reliable Days 61 to 90 • Conversion insights and optimisation recommendations • Full reactivation engine running • Clear segment performance reporting to guide outbound Monday dashboard metrics we want • Total open deals and count by stage • Pipeline value by expected cash month • Deals at risk (no activity, no next step, stuck in stage) • Amount lost last month and top reasons • Warm lead lists for the week (who to contact by segment) • Which segments and roles are converting best and paying more Requirements • Strong Attio experience (please share examples of CRMs you’ve built in Attio) • Proven experience in CRM ops, revenue operations, or sales operations • Excellent data hygiene skills: imports, de duping, standardising records • Comfortable designing pipelines and stage definitions that match real workflows • Strong reporting instincts and ability to translate CRM data into clear actions • Able to work independently and proactively Nice to have • Experience supporting agencies (talent, models, influencer marketing, PR, production, events) • Experience with outbound measurement and segmentation Scope and time commitment • Fractional, ongoing • Expected: 5 to 10 hours per week to start (can adjust as needed) Please include: 1.
