Position Summary We are seeking a detail-oriented and organized Scheduling Coordinator to join our administrative team on a full-time basis.

    This role is essential to ensuring smooth operations by coordinating therapy sessions, managing schedules for clients and staff, and providing general administrative support. The ideal candidate will have excellent communication skills, strong organizational abilities, and a passion for supporting our mission of helping children thrive. Key Responsibilities Scheduling & Coordination (Primary Focus) • Coordinate and schedule ABA therapy sessions between clients, families, Registered Behavior Technicians (RBTs) • Manage cancellations, rescheduling requests, and session changes in a timely manner • Monitor therapist availability and adjust schedules to maximize service delivery • Communicate schedule changes promptly to all relevant parties (families, therapists, clinical team) • Maintain and manage onboarding new staff members • Ensure consistency in client schedules to support therapeutic progress • Track and document scheduling conflicts or recurring issues • Maintain accurate scheduling records in Central Reach and other company databases and management systems Administrative Support • Answer phone calls and respond to emails from families, staff, and referral sources • Assist with client and staff onboarding paperwork and documentation • Maintain organized client and staff files • Generate and distribute weekly schedules to therapy teams • Support Operations department by tracking session attendance and cancellations • Assist with general office tasks including filing, data entry, and correspondence • Support special projects and team initiatives as assigned Communication & Customer Service • Serve as a friendly point of contact for families with scheduling questions or concerns • Provide exceptional customer service while maintaining professional boundaries • Communicate effectively with clinical and administrative teams • Problem-solve scheduling conflicts with professionalism and flexibility Qualifications Required • Strong Central Reach experience • High school diploma or equivalent • Minimum 2-4 years of administrative or scheduling experience (ABA experience required) • Proficient in bolthires Suite (Word, Excel, Outlook) • Excellent written and verbal communication skills • Strong organizational skills with exceptional attention to detail • Ability to multitask and prioritize in a fast-paced environment • Professional phone manner and customer service skills • Reliable, punctual, and able to work independently • Must pass background check and fingerprinting (required for working with children) • Familiarity with Electronic Health Records (EHR) or practice management systems (Central Reach Required) • Knowledge of HIPAA privacy regulations • Experience in healthcare scheduling or ABA therapy settings Preferred • Bilingual (Spanish) • Associates degree or higher in related field Work Schedule &
