As a Team Administrative Coordinator, you will enhance efficiency across various high-impact projects, manage scheduling, and coordinate events while supporting multiple leaders in a part-time capacity. Responsibilities β€’ Scheduling and calendar management – support multiple Evio teammates with meeting scheduling β€’ Maintain company calendar and HR calendar β€’ Manage complex external meeting scheduling with multiple internal and external participants β€’ Proactively work with external parties (e.g. customers, prospects, and partners) to get key meetings scheduled well in advance β€’ Build rapport with customer health plan counterparts β€’ Company event planning – team offsites, board meetings, customer offsites β€’ Scout and book venues (lodging + meeting spaces); negotiate terms β€’ Manage agenda, meals, AV, supplies, and swag β€’ Handle budgets, invites, RSVPs, dietary needs, last-minute adjustments β€’ Content management and organization β€’ Ensure external decks meet brand standards – make formatting and design edits β€’ Implement and maintain Sharepoint folder organization β€’ Manage digital mail service β€’ Craft how-to documents across a range of topics (ex. how to submit an expense report) β€’ Hiring support β€’ Coordinate interview scheduling via Greenhouse ATS (our recruiting database) β€’ Support recruitment team with interview plan standardization and optimization of Greenhouse ATS β€’ Culture & fun β€’ Own milestone celebrations such as birthdays, work anniversaries, new babies β€’ Champion remote culture rituals such as team huddles, virtual team meetings and events, teammate committees β€’ Source and distribute company swag and awards, working closely with brand team on quality and design Skills β€’ Excellent multitasking and time-management skills; able to manage your own time, collaborate with multiple teammates, respond promptly, and prioritize effectively β€’ Exceptionally organized β€” a spreadsheet guru with impeccable digital file management β€’ Strong interpersonal communication and relationship management skills β€’ Excited to plan memorable events and comfortable managing detailed budgets, vendors, and logistics β€’ Proficient in the full Microsoft Office suite, including Outlook, SharePoint, Excel, and PowerPoint; and experienced with Slack β€’ Enthusiastic about creating order and implementing technology solutions β€’ Sound judgment and discernment β€’ Adaptable and calm under pressure; able to navigate quick turnarounds and changes β€’ Naturally curious and able to ask insightful questions to uncover the core of a request β€’ Background in project coordination or event planning is a plus Benefits β€’ 401(k) eligible Company Overview β€’ Evio offers pharmacy solutions, collaborating with health plans for transformative healthcare initiatives.
