(FULL-TIME):
The Virtual Legal Assistant will manage daily client communication and case activity by monitoring Clio Manage portal messages, the Clio Inbox, and the firm email, drafting professional responses, routing correspondence, and flagging urgent items while maintaining accurate case notes and timelines. The assistant will oversee full client onboarding, including verifying signed engagement agreements, activating client portals, creating Shared Folders, sending Clio Grow forms, tracking completion, and ensuring all onboarding documents are properly labeled and uploaded in PDF format.
This role requires extensive document and PDF handling—converting, merging, OCR-processing, redacting, renaming, and organizing evidence and financial records in Dropbox using firm-wide naming standards—along with preparing filing-ready PDFs. The assistant will assemble and submit e-filings in Illinois and Missouri, track acceptance or rejection notices, follow up with court clerks as needed, and manage all court dates, deadlines, Zoom links, and order language in Clio. Additional responsibilities include organizing discovery and financial disclosures, preparing simple drafts such as notices and certificates of service, communicating with opposing counsel or pro se litigants, mailing through LetterStream, and performing end-of-shift audits to keep all firm workflows accurate and up to date.
Required Skills & Experience You must have: Experience with Clio Manage and Clio Grow (non-negotiable) Strong written and verbal communication skills Experience working with attorneys or legal admin work Ability to organize large volumes of PDFs Solid understanding of deadlines and court etiquette High reliability, accuracy, and independent judgment Preferred but not required: Experience with Illinois or Missouri e-filing systems Familiarity with Dropbox organization Background in family law or civil litigation Apply tot his job
