Remote Operations & Executive Assistant based in South Africa to support our founders with operations, supplier coordination, documentation, and customer support. This role suits someone who enjoys responsibility, variety, and working closely with senior leadership in a fast-growing technology business.
Key Responsibilities Executive & Operations Support - Prepare weekly co-founder meeting agendas, collate updates, and track follow-up actions - Maintain task lists, priorities, and deadlines across multiple projects - Support grant usage tracking and project time tracking, ensuring records are accurate and up to date Supplier & International Coordination Act as a key point of contact with suppliers, including: - Technical clarification and follow-bolthires - Purchasing and payment coordination - Production schedules and delivery tracking - Maintain weekly communication with each supplier - Log conversations, commitments, risks, and next steps clearly Marketing & Contractor Coordination - Coordinate activities with external contractors such as: graphic designers, Web designers, Video producers, influencers - Track deliverables, deadlines, approvals, and content status - Organise marketing assets and ensure version control Customer & Partner Support Provide remote customer and installer support, including: - Responding to emails professionally and promptly - Answering and routing phone calls - Logging issues and escalating technical matters when required - Maintain a consistent, professional company tone Documentation & Compliance Assist with product certification applications, including: - Preparing application forms - Organising technical documentation - Coordinating with certification bodies and test laboratories Prepare and update instruction manuals and product datasheets.
Ensure documentation is clear, structured, and well-presented. General Company Support - Improve internal processes, templates, and workflows - Assist with research, admin tasks, and coordination as needed - Act as a trusted support partner to the founders
Required Skills & Experience Essential - Excellent spoken and written English (business-level fluency) - Strong organisational and administrative skills - Experience working remotely with international teams - Confident communicator with suppliers, contractors, and customers - High attention to detail and strong follow-through Desirable - Previous experience as an executive assistant, operations assistant, or senior virtual assistant - Experience working with Asian or Chinese suppliers - Comfort with technical, engineering, or product documentation - Experience supporting startups or fast-growing businesses - Familiarity with marketing workflows and digital content production Tools & Systems Experience with (or willingness to learn): - bolthires Workspace (Docs, Sheets, Drive, Calendar) - Project management tools (Notion, etc.) - Email support systems or CRMs - Video conferencing tools (Zoom, bolthires Meet) Personal Attributes - Proactive and solution-focused - Reliable, professional, and discreet - Comfortable managing multiple priorities - Able to work independently with minimal supervision - Calm, organised, and methodical What We Offer - Fully remote role from South Africa - Stable UK-based company with long-term opportunity - Flexible working style with clear expectations - Exposure to international suppliers, partners, and clean-tech innovation - Opportunity to grow into operations management or project coordination as the company scales Apply tot his job
